Fall Corporate Events: Take Your Company Party Outdoors
Fall is one of the best times of year to host a company event in Cincinnati.
Cooler temperatures, changing leaves and comfortable afternoons create a great setting for employee appreciation parties, corporate picnics, customer events, Oktoberfest celebrations and company tailgates.
And you don't necessarily need to rent an expensive traditional venue.
With the right Cincinnati tent rentals and event equipment, your company parking lot, lawn, courtyard or other outdoor space can become a complete event venue.
Bring the Venue to Your Company
Hosting an event at your own location has some big advantages.
Employees already know where they're going. You have more freedom to determine the schedule and layout. Your company's branding can be incorporated throughout the event.
Most importantly, you can design the space specifically around what you want to do.
A tent can transform an otherwise ordinary parking lot or grassy area into a professional event space.
ColdIron Event Rentals offers frame, pole and clear top tents in a range of sizes for corporate events throughout Greater Cincinnati and Northern Kentucky. ColdIron also offers lighting, heating and electrical options for its tents.
Start With the Right Cincinnati Tent Rental
The size and style of your tent will depend on your guest count and what you plan to put underneath it.
A cocktail reception with mostly standing guests requires a different layout than a seated employee dinner.
You also need to account for bars, buffet tables, staging, entertainment, registration areas and walkways.
ColdIron's inventory includes smaller frame tents as well as large pole and clear top tents, allowing the event space to be scaled for different types of corporate gatherings.
For especially large company events, multiple tents can create separate spaces for dining, entertainment, food service, bars and other activities.
Create a Fall Company Picnic
Company picnics don't have to end when summer does.
Fall temperatures can actually make an outdoor employee event more comfortable.
Set up a large tent with tables and chairs, bring in food or catering, add games and entertainment, and create an afternoon where employees can spend time together outside of the workplace.
ColdIron offers table and chair rentals in Cincinnati along with tents and other event equipment, making it possible to build much of the event through one rental provider.
Host a Corporate Oktoberfest
Fall and Oktoberfest go together naturally.
Create your own company beer garden with long tables, food stations, bars, live music and fall decorations.
ColdIron's Vineyard Collection can add a distinctive look with rustic wooden pieces designed for outdoor events and corporate gatherings.
Add bistro lighting overhead and you can take the event from afternoon into evening.
Plan a Bengals Tailgate for Employees
This is Cincinnati. Fall also means Bengals football.
A corporate football tailgate can be a great employee or customer appreciation event.
Set up a tent in your company parking lot with TVs, tables, chairs, food and beverage stations. Add heaters for later in the season and you've created a private football party without requiring everyone to travel to another venue.
A corporate tailgate can also incorporate company signage, sponsor displays and branded areas throughout the event.
Make the Space Comfortable
Cincinnati's fall weather can change quickly.
An afternoon that starts warm can become chilly after sunset.
Tent sidewalls provide additional protection from wind and weather. ColdIron also rents tent heaters and patio heaters, while window sidewalls can provide weather protection without completely closing off the appearance of the tent.
Planning these items early gives you more flexibility when the forecast changes.
Use Lighting to Transform the Tent
Lighting can completely change how a tent looks after dark.
Bistro lighting is an especially good choice for fall corporate parties because it provides useful illumination while creating a warmer atmosphere inside the tent. ColdIron offers bistro lighting as one of its tent accessories.
Additional lighting may be needed around bars, catering areas, stages, entrances and walkways.
Add a Stage
If your event includes a company presentation, awards ceremony, DJ or live band, consider adding staging.
A stage creates a focal point and helps guests throughout a large tent see what's happening.
ColdIron offers staging as part of its Cincinnati event rental inventory, allowing it to be incorporated into the overall tent layout.
Don't Forget About Power
One of the easiest things to overlook when planning an outdoor corporate event is electricity.
Think about everything that might need power.
Lighting, TVs, sound systems, bands, catering equipment, refrigeration and other event equipment can quickly create significant electrical demand.
ColdIron provides generator rentals and temporary event power in Cincinnati for corporate events and other outdoor gatherings.
Planning the power requirements along with the tent layout can prevent major headaches on event day.
Build Different Areas Within Your Event
One large open tent isn't always the best layout.
Consider creating different areas for your guests.
You might have a main dining area, cocktail area, bar, entertainment space, food stations and a quieter seating area.
For a customer or client event, you can also create registration, product display and branded hospitality areas.
The flexibility of a tented event lets you create the venue around your event instead of trying to fit your event into an existing room.
One Cincinnati Event Rental Company for the Entire Setup
Coordinating multiple rental companies can add unnecessary work to an already complicated event.
ColdIron Event Rentals provides tents along with tables, chairs, linens, staging, lounge furniture, catering equipment, generators, lighting, pipe and drape, portable bars and other event equipment. The company serves corporate events throughout Cincinnati, Northern Kentucky and Southwest Ohio.
That means your Cincinnati corporate event rentals can come from one local company rather than coordinating a separate provider for every part of the event.
